Job Description
- Ensure that the terms and conditions laid out in the Villa Management agreements are adhered to and the villa management team plus owners are clear about their own responsibilities under the agreements.
- Study and verify all individual monthly statements of account and income statements, before they are sent to owners, within the agreed timeframe. These statements must be sent with a short note from the VM describing general goings-on at Estate Management, the organization, and specifically about issues about each individual villa.
- Prepare responses owners may have on any issue in a timely, factual and professional manner.
- Communicate openly and transparently with all villa owners, ensuring they are kept informed of matters relating to their villas and staff.
- Attend the daily morning briefings and DH meetings.
- Prepare and present the annual budget for approval, per the agreement deadlines, including capital expense items for approval.
- Present financial reports and accounts receivable to MANAGEMENT at regular meetings with clear explanations on variances on a monthly basis / comparison actual to budget / general financial update.
- Consult and meet with the Liaison Group as stipulated in the agreements. The LG is represented by 4 villa owners plus the MANAGEMENT and one other MMC Director.
- Prepare and organize scheduled internal Villa Management meetings.
- Attend weekly meeting and department heads, updating the team on all relevant matters and prepare agenda items for the scheduled villa estate operation meetings and inspections with the MANAGEMENT.
- Ensure the standards and consistencies of OE in villas are maintained.
- Work closely with HR and Property Management teams regarding security, performance appraisals, training programs, recruitment, terminations, staff counseling and discipline.
- Interact with F&B Manager regarding all guest type F&B matters, staff training opportunities and any events in villas.
- Interact with PURCHASING regarding contacts, suppliers and prices. Supply of hotel amenities is in line with the Villas, and the Estate Management purchasing must work closely with purchasing to ensure the same standards and par levels are achieved, and that Estate Management owners are getting the best deal for the products specified.
- Interact with villa owners and their Project Manager regarding any additions or renovations, ensuring the terms and conditions of the Work Rules. 3
- Interact with Accounting regarding rental income and associated costs, VO discounts on hotel bills, ensuring the costs are applied per the agreements in place.
- Interact with Reservation team regarding all occupancy and retuning guest history, special requirement etc.
- Work with villa owners and engineers regarding villa repairs or upgrades needed, annual maintenance, which is planned in the summer months.
